Administration Intern will be responsible for supporting Administration department in:

  • Welcoming and taking care of visitors and candidates in a professional and friendly manner
  • Cooperating with landlord and building suppliers (informing about all expected visitors/deliveries, reporting technical problems)
  • Coordinating incoming and outcoming calls & emails
  • Coordinating incoming and outcoming post correspondence (preparing, receiving, registering, visiting Post Office, ordering courier etc.)
  • Taking care of Access Cards and new employees (updating database, making photos of new Hires, distributing Swipe Cards to new Hires etc.)
  • Cooperation with HR (organising meeting rooms for interviews, taking care of candidates and new Hires, copying and scanning documents)
  • Organizing business travels for employees and Clients coming to Poland (searching and booking flights and hotels, organizing taxi collections etc.)
  • Taking care of Client’s visits (offering assistance with hotel, organising taxi transfers, booking and preparing rooms, ordering business lunches, set up lunches/tea/coffee for meetings, being open for assistance in case of any extra requests during their visits)
  • Facility (taking care of office supplies and offering assistance with matters related to preserving good conditions of the office space)
  • Providing help and assistance to all employees and guests when required

You are a perfect candidate if you:

  • Have a good command of English (both spoken and written; B2 level)
  • Possess good communication and organisational skills
  • Have good command of Microsoft Word, PowerPoint, Excel and other Windows-based applications
  • Enjoy working with people
  • Are open-minded, proactive and supportive
